Steps to take when a charity trustee leaves

When a charity trustee leaves your charity, you should take the following steps:

  • You must make sure that the number of charity trustees does not fall below the minimum required, if a minimum is set. All SCIOs (Scottish Charitable Incorporated Organisations) must have at least three charity trustees, but the required minimum may vary depending on the rules in your charity’s governing document. You should seek to appoint a new charity trustee before the one in post leaves.
  • One of the designated OSCR Online charity users must log in to the system and update the charity trustee details held by OSCR. If your charity is also a company, you must also notify Companies House of any changes.
  • Remove their OSCR Online access if they are listed as a charity user and assign access to someone else.
  • Update the principal contact details via OSCR Online if the departing charity trustee holds that role.
  • Record the change in your charity’s next annual report and accounts, covering the period in which the change occurred.
  • Look to see if you need to update title deeds for the any property the charity holds if the charity trustee is named in them.
  • Update any banking access to ensure that former charity trustees no longer have access to the charity’s bank account.
